Operations Coordinator

Position Summary

The Operations Coordinator is responsible for working within the Operations team and alongside the Operations Manager for Camp, to expertly deliver all operational support to customers.  

They will ensure all required information is processed and available according to set deadlines, prioritising a smooth customer journey from sign up, departure and return, with a focus on high customer service. 

The Operations Coordinator will work closely with the Operations Manager, providing operational insight and updates which in turn will help aid interdepartmental cohesiveness. 

The Operations Coordinator will have a working knowledge of all suppliers that we work with and will liaise with them as required.  

The Operations Coordinator will work closely with the Operations Manager to ensure we are collecting income receivable. This person will also assist with the processing of supplier invoices and checking them against the backend system. 

Duties and Responsibilities:

  • Reporting Directly to your line manager regarding pax numbers, passenger documentation, merchandise, customer payments etc. ensuring set deadlines/ targets are met. 
  • Providing informative operations reports based on the above.
  • Guide other Operations Associates to ensure KPIs and targets are met.
  • Overseeing merchandise orders and liaising with our merchandise suppliers.
  • Assisting with workflow and form creation.
  • Communicating with inbound partners and suppliers when required.
  • Using a CRM to ensure pax numbers are constantly updated and accurate.
  • Chasing customer payments and payment plans.
  • Effectively implement company terms and conditions regarding cancellations/refunds/payments. 
  • Efficient communication with all customers via telephone, email, Whatsapp etc. and providing high customer service when doing so. 
  • Achieve high customer feedback rating regarding all pre-trip comms and management

** Extensive training will be provided on the above tasks, however it is MANDATORY that all candidates for this role have had prior experience and expertise in an admin/operations/logistical position. Experience working within the travel industry is a sought after bonus.

Additional Responsibilities: 

  • National travel as required (events/ fairs)

Required Experience:

  • Excellent communication skills both verbal and written.
  • A systematic and methodical mind to manage spreadsheets and CRMs.
  • Ability to remain organised and handle multiple tasks at once. 
  • Excellent IT skills – Excel, Word. Prior CRM experience is highly preferred. 
  • Excellent telephone manner and ability to engage with customers.
  • Be comfortable working independently as well as part of a team.

We’re FurtherTravel and we exist to provide once in a lifetime travel experiences. We are home to many popular brands in the industry, such as Camp Thailand, Camp Bali, Camp South Africa, AmeriCamp and many more. We are an innovative company looking to grow our current offerings. 

We’re looking for a Sales Associate to join our growing Camp Team – to help connect young adventurers with our unforgettable trips. We’re all about providing exceptional tours with the most unique activities, whilst also making an impact within the local communities we visit. Your enthusiasm, product knowledge, and customer-centric approach will drive sales and foster lasting relationships with our clientele. If you’re passionate about travel and thrive in a fast-paced environment, come join our energetic, dynamic and friendly team!

In this role you will:

  • Provide exceptional service when engaging with our customers across all platforms, e.g. phone, email, messaging, and socials. 
  • Report directly to your line manager regarding KPIs sale numbers, conversions, lead quality etc. 
  • Provide informative sales reports/ commentary
  • Make sales calls and follow up with potential leads to increase conversions 
  • Strategise on how/where to get more leads
  • Give input on sales messaging and activity, to help reach monthly targets set by the business
  • Answer all inquiries across all platforms, providing information in a timely manner, ensuring optimal customer satisfaction
  • Appropriately use our systems to track and log all interactions
  • Take payments over the phone and provide accurate info on payment plans, cancellations etc.  

Additional Responsibilities: 

  • National travel as required (Job fairs, conferences/presentations)

Required Experience

You must have:

  • Excellent Communication: Clear verbal and written communication skills, with the ability to influence others
  • Sales Acumen: Experience working in a fast-paced sales environment with a drive to meet and exceed sales targets (2 years + is preferred).
  • Customer-Centric Approach: Prioritise customer needs and build trust.
  • Methodical: A methodical mind to ensure efficient reporting on sales and conversion rates 
  • Organised: Ability to remain organised and handle multiple tasks at once 
  • Adaptability: Thrive in a dynamic, ever-changing environment.
  • Creativity: Ability to think creatively and outside the box, with an entrepreneurial approach
  • Team Player: Collaborate effectively with colleagues.
  • Attention to Detail: Accuracy in logging interactions and records on our systems.
  • IT Skills: Is computer literate; proficient in Word, Gmail, Excel. Any previous CRM experience is preferred but not required. 
  • Professional Appearance: Represent our brand with pride.
  • Passion for Travel: A love for travel and for sharing that with others, as well as an understanding of the youth market.
